Privacy Policy

This policy explains how Syncbot collects, uses, stores, protects, and shares information when businesses use our AI WhatsApp sales intelligence platform.

1. Scope

Syncbot is operated by Pixlence Marketing and Media Services Private Limited and provides WhatsApp Business messaging, automation, campaign, commerce, AI assistance, and reporting tools for business customers. This Privacy Policy applies to syncbot.cloud, app.syncbot.cloud, related APIs, widgets, forms, and integrations operated for Syncbot customers.

Our customers are responsible for the contacts, conversations, templates, campaigns, and business data they import or process through Syncbot. Syncbot acts as a service provider or processor for that customer-controlled data.

2. Information We Collect

  • Account information such as name, email address, company name, role, workspace details, billing plan, and authentication activity.
  • WhatsApp and Meta connection information such as Business Account ID, phone number ID, business ID, access tokens, webhook events, message status, account health, and template sync data.
  • Customer contact data such as names, phone numbers, tags, attributes, conversation history, form submissions, order events, and opt-in or consent signals.
  • Campaign and automation data such as templates, flows, broadcasts, audience segments, replies, delivery status, and analytics.
  • Technical data such as IP address, device/browser information, logs, API requests, security events, cookies, and performance diagnostics.
  • Payment and subscription data processed through payment providers. Syncbot does not intentionally store full card numbers.

3. Meta and WhatsApp Data

When a business connects WhatsApp through Meta Embedded Signup, Syncbot uses Meta permissions only to provide requested messaging and management features. This may include connecting WhatsApp Business Accounts, syncing phone numbers and templates, processing inbound/outbound messages, managing webhooks, and monitoring account health.

Syncbot does not sell Meta or WhatsApp user data. We do not use WhatsApp message content for unrelated advertising. AI features process conversation or business data only to deliver customer-requested features such as drafting replies, classifying leads, summarizing conversations, routing chats, and improving workflow automation for the workspace.

4. How We Use Information

  • To create and manage customer workspaces, users, teams, roles, and permissions.
  • To send, receive, automate, and analyze WhatsApp Business communications.
  • To operate campaigns, templates, ecommerce updates, transactional messages, forms, and chatbot integrations.
  • To provide support, onboarding, demos, security monitoring, fraud prevention, and service notifications.
  • To improve product reliability, user experience, deliverability, analytics, and infrastructure performance.
  • To comply with law, Meta platform policies, WhatsApp Business Messaging Policy, and contractual obligations.

5. Sharing and Subprocessors

We share information only as needed to provide Syncbot, comply with law, protect the service, or follow customer instructions. Relevant service providers may include hosting providers, email providers, analytics tools, payment processors, AI model providers selected by a workspace admin, and Meta/WhatsApp services.

We require service providers to use data only for the services they provide to Syncbot and to apply appropriate confidentiality and security controls.

6. Data Retention

We retain customer workspace data while the account is active or as needed to provide the service. Customers may request deletion of workspace data, contact data, message records, and integration tokens, subject to legal, billing, fraud-prevention, and backup retention requirements.

7. Your Rights and Choices

Depending on your location, you may request access, correction, export, restriction, objection, or deletion of personal information. Business contacts should first contact the business that messaged them through Syncbot, because that business controls the campaign or conversation data.
